Zmode Privacy Policy

Effective date: October 25, 2026

1. Who we are#

Zmode, Inc. ("Zmode", "we", "us") runs zmode.com and the Zmode app, an AI operating system that helps small businesses run their website, bookings, customer messages and marketing. Zmode is a Delaware corporation. You can reach us at support@zmode.com or at 25 W 45th St, New York, NY 10036.

2. Who this policy covers#

  • Business owners and their staff who sign up for and use Zmode ("Owners").
  • Their customers, people who visit an Owner's Zmode website, book, buy, or message the business ("Customers"). For Customer data, Zmode acts as a service provider for the Owner: the business decides how that data is used, and we process it on its behalf.
  • Visitors to zmode.com.

3. What we collect#

  • Account information: name, email, phone, password or sign-in details, and the business's name, address, hours, services, prices and staff.
  • Content you add or create: website text and images, documents, messages with the Zmode assistant, and settings.
  • Customer records the business manages: names, phone numbers, emails, bookings, purchases, messages and notes.
  • Connected accounts: when an Owner connects a channel such as WhatsApp, Instagram, Facebook, Google Business Profile, LinkedIn, TikTok or Google Calendar, we receive the data needed to send and receive messages, posts, reviews or calendar information for that business.
  • Payments: payments are processed by Stripe. Zmode does not store full card numbers.
  • Usage and device data: pages viewed, features used, IP address, browser and device type, collected with cookies and similar tools to run, secure and improve Zmode.

4. How we use it#

  • To provide Zmode: build and host websites, take bookings, send confirmations and reminders, answer Customers, and run the tasks an Owner asks for.
  • To power AI features: the Zmode assistant and AI responder read the business's own data to answer questions and draft replies. Actions that send, charge or delete ask the Owner first unless the Owner has turned them on.
  • To keep Zmode safe: prevent fraud and abuse, and fix problems.
  • To improve Zmode, using usage data and, where needed, aggregated or de-identified data.
  • To communicate with Owners about their account, service updates and, where allowed, offers they can opt out of.
  • To meet legal obligations.

We do not sell personal information, and we do not share it for targeted advertising.

5. Who we share it with#

  • Service providers that help us run Zmode, under contracts that limit their use of the data: hosting and databases, AI model providers, payments (Stripe), messaging and social channel connections, email and text delivery, and product analytics. These include Supabase, Railway, Vercel, Anthropic, Stripe, Zernio, Resend and PostHog. Our AI providers may not use your data to train their models.
  • The business you deal with: Customer data is shared with the Owner whose business you booked, bought from or messaged.
  • Legal and safety: when the law requires it, or to protect people, Zmode or others.
  • Business transfers: if Zmode is merged or acquired, data may move to the new owner under this policy.

6. Google user data#

When an Owner connects Google services to Zmode:

  • Google Calendar: we read the Owner's free and busy times, so their booking page never offers a time they're already booked. We create, change and cancel only the bookings made through Zmode, on calendars the Owner owns. We do not read event titles, descriptions or guests from free and busy information.
  • Google Business Profile: we publish posts and replies the Owner approves, and read reviews and profile information for that business.

Zmode's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In particular, Google user data is used only to provide the features above. It is never sold, never used for advertising, never used to train AI models, and never read by people at Zmode except with the Owner's permission, for security, or to meet the law. An Owner can disconnect Google at any time in Zmode's settings or at myaccount.google.com/permissions. After disconnecting, Zmode stops accessing Google data, and deletes what it stored from Google within 30 days on request or when the account is deleted.

7. Text messages#

Zmode sends text messages, such as booking confirmations and reminders, on behalf of businesses to Customers who gave their number to that business. Message frequency varies. Message and data rates may apply. Reply STOP to stop or HELP for help. Mobile numbers and text messaging consent are never shared with third parties or affiliates for marketing.

8. How long we keep it#

We keep data while the Owner's account is active. When an Owner deletes their account, we delete their business data within 30 days, except records we must keep by law (for example billing records). Backups are overwritten on a rolling schedule.

9. Your choices and rights#

  • Owners can view, correct, export or delete their data in the app, or by writing to support@zmode.com.
  • Customers should contact the business first. We'll help that business answer your request, and you can also write to us.
  • Depending on where you live (for example California), you may have rights to know, access, correct, delete and opt out. We honor these requests and won't treat you differently for using them.
  • You can opt out of marketing emails with the unsubscribe link.

10. Security#

We use encryption in transit, access controls and monitoring to protect data. No system is perfectly secure; if a breach affects you, we'll tell you as the law requires.

11. Children#

Zmode is not directed to children under 13, and we don't knowingly collect their data. If you think a child gave us data, write to support@zmode.com and we'll delete it.

12. Where data is stored#

Zmode stores and processes data in the United States. If you use Zmode from another country, your data is transferred to the United States.

13. Changes#

We'll post any change here with a new effective date, and tell Owners by email or in the app before a material change takes effect.
